Candle business software: what to look for (and what to skip)

The short answer: good candle business software should do five things — track your material inventory, cost your candles from real recipes, plan production batches, manage wholesale accounts, and invoice them. Anything beyond that is a bonus. Anything less means you're still running part of your business on sticky notes.

Most makers start with a spreadsheet, and that's fine for the first few months. The moment it breaks is predictable: a supplier raises fragrance prices and now forty product costs are wrong, or you promise a shop 60 candles without knowing you only have enough wax for 40. Software earns its keep by keeping those numbers honest automatically.

Feature 1 — Recipe-driven costing. Your cost per candle should be calculated from your actual recipe — wax weight, fragrance load, wick, vessel, label, lid — and update itself when material prices change. Feature 2 — Inventory that checks your batches. Before you plan a pour, the software should tell you whether you have enough wax, oil, wicks, and vessels on hand — and what's short. This is the single biggest daily time-saver for a small studio, because it turns "let me go count jars" into a glance.

Feature 3 — Production batches, not just to-do lists. A batch should know its recipe, its pour date, its cure window, and its status from planned to completed. When you finish a batch, finished-goods stock should go up and materials should go down — once, correctly, with a record you can audit later.

Feature 4 — Wholesale tools. If you sell to shops, you need line sheets, wholesale pricing separate from retail, and a way to see each retail partner's order history and when they're due to reorder. Repeat orders are where wholesale money is, and memory is a terrible CRM.

Feature 5 — Invoicing in the same place. Quotes, orders, and invoices should draw from the same products and customers so you're not typing the same line items into three different apps.

What to skip: enterprise MRP features, multi-warehouse logistics, and anything priced for factories. A solo maker pouring a few hundred candles a month needs accuracy and speed, not supply-chain forecasting.
