Candle inventory management for small makers: the system that stops the mid-pour surprise

The short answer: track every material in grams or units, set a reorder point for each one, and deduct stock when you pour — not when you remember. The mid-pour surprise (half a bag of wax when the recipe needs a full one) only happens when inventory lives in your head.

What to track: everything a candle consumes. Wax and fragrance oil by weight, wicks, vessels, lids, labels, and boxes by count. Deduct at the batch, not the memory. When you plan a pour of 24 candles, the materials for those 24 candles should come out of stock when you complete the batch — automatically, from the recipe, with a record. If your process is 'I'll update the spreadsheet Sunday,' your counts are fiction by Tuesday.

Check before you commit. Before you accept a wholesale order or schedule a pour day, you should be able to answer one question in seconds: do I have enough of everything for this batch? If the answer requires walking to the shelf, your system isn't a system yet.

Count occasionally, adjust honestly. Even good systems drift — spills, mis-pours, samples. Do a quick count of your top five materials monthly, and when you adjust, record why. An adjustment with a reason is an audit trail; a silent edit is a future mystery.
